Your purchase is subject to Barbican Carpet and Flooring’s standard terms and conditions. Please read them carefully before proceeding.

Before accepting our offer, carefully review your order details to ensure accuracy.

1. SUPPLY-ONLY ORDERS

a. Product Information

  • Please check that the goods received match your order.

  • Colour variations in carpets and wood flooring may occur between batches. This is within the manufacturer’s tolerance.

  • Looped carpet missing tufts is not a defect. A qualified technician can reinsert them if necessary.

  • Wood flooring is a natural product and will have variations in colour, knots, and grading.

  • Due to sample size limitations, display boards may not fully represent the product’s grade, knots, or character.

  • Vinyl and rubber flooring may fade or discolour over time when exposed to sunlight or heat.

  • Temperature and humidity should be maintained within the manufacturer’s recommendations to avoid excessive expansion or contraction.

b. Product Samples & Availability

  • The samples provided are intended to give a general impression of colour and pattern but are not exact representations.

  • All products are subject to availability. We will notify you as soon as possible if a product is unavailable on your agreed  order.

  • Stock availability may change, and we can only confirm availability upon placing an order with our suppliers.

c. Delivery & Collection (Supply-Only Orders)

  • Orders can be collected from our Barbican, London store or delivered curbside to your specified address (unless otherwise agreed).

  • Delivery charges may apply unless stated otherwise.

  • Once goods are delivered or collected, the risk transfers to you, and you should arrange appropriate insurance.

  • Please inform us in advance if there are any access restrictions at the delivery location.

  • Goods will be delivered to the most convenient point for our carrier (curbside only) unless agreed otherwise.

  • If you need goods moved inside the property, this must be arranged in advance and at your own cost.

d. Failed Deliveries & Additional Charges

  • If you fail to take delivery (except where we are at fault), we will store the goods and may charge you reasonable storage fees.

  • If additional materials are needed due to incorrect measurements or failure to allow for wastage and cutting allowance, you will be charged for the extra material at the original pro-rata rate.

e. Damaged or Missing Items

  • If goods are lost or damaged in transit, please note this on the carrier’s delivery slip or refuse delivery if the damage is excessive.

  • Inform us immediately via email if you receive damaged or missing items.

  • Claims cannot be accepted after the carrier has left unless the delivery was signed for as damaged or missing.

f. Returns & Cancellations

  • Orders cannot be canceled without our prior written consent. You will be responsible for any resulting costs.

  • Returns will not be accepted without prior written consent, and you must cover any associated costs.

  • Special order or custom-made products cannot be returned.

2. INSTALLATION SERVICES

If your order includes both supply & installation, the supply terms (above) also apply.

a. Installation Terms & Site Preparation

  • If installation is included, materials will be delivered by the installers to site. 

  • A detailed proposal will outline the installation costs and services.

  • Any work outside the agreed itemized proposal may result in additional charges.

  • The installation area must be clear of furniture by client in advance and ready before work begins.

  • Personal and fragile items must be removed before installation. Large furniture removal is available at an additional charge if agreed in advance.

  • We are not liable for any damage to furniture, walls, or skirting boards during installation.

  • Other trades must not be working in the installation area. If delays occur due to other contractors, extra charges may apply.

b. Subfloor Preparation & Unexpected Costs

  • Subfloor preparation may be required before installation. Any unforeseen issues requiring extra materials or labour will be charged additionally.

  • Subfloor preparation makes the surface smooth but does not level it. The new flooring will follow the existing floor profile.

  • Any loose, broken, or squeaky floorboards must be fixed before installation. Our installers do not perform these repairs unless agreed in advance and charged for it.

  • Inform us in advance if any electrical wiring or pipes run beneath the flooring or behind skirting boards. We are not liable for damage to unseen cables or pipes.

c. Flooring Fit & Finish Considerations

  • Undercutting skirting boards may result in minor chipping, cracking, or paint damage. Clients are responsible for any post-installation touch-ups. This may also leave a a gap between the flooring and skirting boards, which maybe be filled by the client separately with caulk or other solutions.

  • Decorating work may be required after installation (e.g., repainting scuffed skirting boards). This is the client’s responsibility.

  • Ceilings below installation areas may be affected by vibrations. If your ceiling is structurally weak, we are not responsible for any resulting damage.

d. Door & Furniture Adjustments

  • Doors may require trimming due to new floor heights. This is not part of our services but we may be able to do it at an additional cost 

  • Fitters may remove doors but will not trim or rehang them unless this service is pre-arranged and charged for.

  • Fire doors and specialist doors require a professional carpenter. We may be unable to remove such doors. Same applies to metal doors. 

e. Additional Work & Delays

  • If delays occur due to incomplete site preparation, extra charges may apply based on our standard daily rates.

  • Any hidden issues (such as subfloor damage) that require extra labour or materials will be charged accordingly.

f. Parking

  • Parking must be provided or covered by the client, if not insatallers will park and charges to be added to the invoice. 

3. RESCHEDULING & CANCELLATIONS

3.1 Rescheduling
To reschedule an installation, we require a minimum of 5 working days’ notice.
If less notice is provided, a rescheduling charge of £400 per booked date may apply, up to a maximum equal to the total quoted installation cost. These charges help cover the costs of wasted days and lost work due to late changes.

3.2 Cancellations
We require 10 working days’ notice to cancel a booked installation.
Cancellations made within 10 working days of the scheduled installation will incur a charge of 50% of the total installation cost, or £400 per booked date—whichever is greater. This helps compensate for lost work and scheduling disruptions.

4. PAYMENT TERMS

4.1  Deposit & Final Payment

  • For Supply and installation orders:

    • 75% deposit required  to confirm an order. 

    • Final 25% balance due within 2 working days after completion of works.

    • If final payment is withheld due to minor finishing issues, only a proportionate amount may be held (to reflect the unfinished work).

  • Supply-Only & Custom Orders.

Full payment (100%) is required upfront for

  • All supply-only orders.

  • Custom or special-order products (e.g., bespoke sizes/colors).

  • No cancellations/refunds once production begins.

4.2 Late Payments

  • Invoices not paid by the due date will accrue statutory interest at 8% above the Bank of England base rate, calculated daily, in accordance with the Late Payment of Commercial Debts (Interest) Act 1998.

  • We reserve the right to pause services, withhold deliveries, or delay further work where payments remain outstanding.

4.3 Fixed Late Payment Charges

  • In addition to interest, the following fixed late payment fees will apply to overdue invoices:

  • £40 for debts under £1,000

  • £70 for debts between £1,000 and £10,000

  • £100 for debts over £10,000

  • These fees are applied per overdue invoice, as permitted by UK law.

4.4 Formal Recovery

  • If payment is not received within 14 calendar days of the due date, we reserve the right to initiate formal debt recovery proceedings without further notice.

  • All legal, administrative, and recovery costs incurred in pursuing the debt will be charged to the customer.

  • These terms are legally binding and enforceable under UK law.

5. LIABILITY & DISPUTES

  • Our liability is limited to:

    • Replacement/repair of defective goods (excludes natural variations).

    • Reperformance of faulty installation.

  • We are not liable for:

    • Consequential damages (e.g., delays, third-party costs , etc..).

    • Pre-existing structural issues (e.g., weak ceilings, uneven subfloors).

  • Disputes: Must be reported in writing within 14 days.
